Hotel Reservation Instructions

The Texas Council will celebrate the 25th anniversary of our Annual Conference on June 16-18, 2010 at the Marriott Woodlands Waterway Hotel and Convention Center in the Woodlands, Texas!

We hope you are looking forward to this important opportunity to gain knowledge, share successes and network with friends and colleagues from across the state!

In an effort to ensure each Community Center has the opportunity to reserve rooms at the conference hotel, the Texas Council Board has agreed to pilot a different approach to hotel reservations.

Room Reservation Overview

  • Four (4) rooms on Tuesday, June 15, 2010
  • Seven (7) rooms on Wednesday, June 16, 2010
  • Seven (7) rooms on Thursday, June 17, 2010

All room reservations, cancellations and substitutions will be made with our Conference Coordinator, Pat Holder.

A point person from each Center will coordinate room reservations directly with Pat Holder.

A cancellation penalty of a one night hotel charge ($149) may be assessed for each room cancelled after May 25, 2010 . No cancellation penalty will be assessed for substitutions.

Reservation Due Date:


Please contact Pat Holder at patholder@austin.rr.com by noon on March 12, 2010 to reserve accomodations.

Stage One


Complete the attached form and submit your room reservation list directly to Pat Holder. We anticipate some Centers will not use all their allotted rooms and others will indicate a need for additional rooms.

Stage Two


When the initial reservation list is submitted to the conference hotel, additional rooms not filled during stage one will be made available to the extent possible to speakers, exhibitors and Centers that request additional rooms.

Overflow Hotels


Pat Holder will work with overflow properties near the conference hotel to accommodate all other participants. When overflow capacity is identified, the Texas Council will communicate instructions for reservation information.

Rooms Booked Prior to Block Release


The Marriott Woodlands Waterway notified the Texas Council that rooms were booked prior to release of the block. If you have already booked rooms, you will be contacted by the hotel and notified that your reservation will be released back to the block. This will allow Pat Holder to book rooms using the allotment strategy.
